Parks/Rec-Administrative & CS Assistant

Summary of Duties

This position provides administrative support to Director, Recreation Manager and Coordinator to ensure efficient daily operations of Parks and Recreation through customer service in person, over the phone, and online. Will work with programming software, currently RecTrac/WebTrac. Assist with special events throughout the year.

Will primarily work Thursday, Friday, and Saturday 8am-5pm, along with some evenings to assist with special events and building rentals. Works closely with staff on facility rental needs.

Essential Duties and Responsibilities

  • Open and close facility (must be comfortable working alone).
  • Register customers for activities and rental reservations.
  • Balance cash drawer and generate daily deposit reports.
  • Respond to inquiries about programs, shelter, sporting events, and facility rentals.
  • Update RecTrac and WebTrac with new program information.
  • Assist with facility rental setups as needed.
  • Assist with special event prep, setup, operations, and tear down as needed.
  • Maintains and ensures departmental compliance with all policies and procedures; ensures adherence to established safety procedures.
  • Provide superior customer service to all participants of NKC Parks and Recreation.
  • Provides support to all staff and other duties as assigned.

Supervisory Responsibilities

  • None.

Budgetary Responsibilities

  • None.

Minimum Qualifications

  • Prefer minimum one year experience with administrative and/or receptionist. Some experience with parks and recreation is preferred but not required.
  • Must be at least 18 years old and possess a High School diploma or GED.
  • Must possess and maintain the following certification: first aid and CPR certification within 6 months of hire date.

Knowledge, Skills, Abilities and Competencies

  • Skills in problem solving, leadership, interacting with people, and oral and written communication. Skill in assigning, prioritizing, monitoring, and reviewing work.
    • Comprehensive knowledge and experience with Microsoft Office, Outlook, Adobe Suites is preferred.
  • Ability to provide appropriate customer service and interact effectively with individuals who may be confused, upset, or irate.
  • Skill in operation of modern office equipment such as personal computer, copier, and telephones.
  • Appropriately and effectively represent the City at a variety of community events and activities in support of positive public relations initiatives.
  • Ability to use sound judgment to detect unusual, harmful, or emergency situations and act accordingly.

Work Environment, Physical Demands, and Other Requirements

  • Work is performed primarily in an office environment, but special events are typically outdoors.
  • May be required to run, climb, balance, reach with hands and arms, sit, stand, stoop, kneel, crouch, talk or hear, smell, and use hands to finger, handle, or feel.
  • May be required to lift and carry up to 50 pounds.
